  • An Authentication relates to certified documents intended for use in a non-Hague member country.

“Asking the right questions is vital in the world of acceptable Apostilles.”  Professional, paralegal-minded apostille and document authentication — handled with precision, explained clearly, and priced with complete transparency from start to finish.

Relocating to distant shores? Attending or teaching school abroad? Planning a destination wedding? Establishing a business overseas? Adopting a child born in another country? Have you been asked to present a vital record — a birth, marriage, or death certificate — to a foreign authority?

And now you’ve been asked to provide an Apostille! — Where do you go from here?

Do you have the time and patience to make sense of the process — so all the puzzling pieces come together into an internationally accepted legal document? It’s a common dilemma. Wasting your time, effort, and expense is not necessary. Would you also want to leave it to chance that another country rejects your most important documents because they could not pass what are often the most stringent requirements?

The steps to acquiring an apostille may seem daunting. The process comes with unfamiliarity with intricate state and federal protocols, requires careful attention to detail, and takes multiple steps to ensure compliance with international regulations. Why not seek help from the professional, paralegal-minded, and knowledge-backed services of ARTSA? Hague Convention or Non-Hague — What's the Difference?

An APOSTILLE authenticates a document’s origins for use in another Hague Convention member country — a one-step certification issued by the Tennessee Secretary of State.

An AUTHENTICATION is a more complex, three-step process required for documents destined for non-Hague member countries — involving the state, the U.S. Department of State, and the destination embassy.

 Hague Convention Countries

(120+) One-step apostille process. Covers most of Europe, Asia, Latin America, and the Americas. ARTSA verifies your specific destination.

Non-Hague Countries

Three-step authentication: Tennessee SOS → U.S. Dept. of State → Destination Embassy. More coordination, more time — ARTSA manages the full chain.

Tennessee Processing

Apostilles are issued by the TN Secretary of State’s office. ARTSA handles the entire submission on your behalf — you don’t need to travel to Nashville.

Translation Requirements

Many countries — including Germany, France, Italy, Japan, South Korea, and Brazil — require documents translated into their official language before an apostille is accepted. ARTSA coordinates this step.

ARTSA’s certified apostille agent services are available for documents already originating from Tennessee, or that will originate from within Tennessee after ARTSA’s notarization. ARTSA can also facilitate apostille requests for most other U.S. states through a network of certified agent

Know Before You Start –

Critical Details That Affect Your Apostille – What a Notary Can & Cannot Do

📄 Certified Copies

State law does not authorize a notary to certify a copy of your document. Only the person to whom the document was issued can certify in a written statement that a photocopy is a true copy — signatories then obtain notarization under oath. For some documents, an original custodian (e.g., a school registrar) must sign the statement in the presence of a notary. ARTSA’s on-call and online notary is available for this.

🚫 Documents That Cannot Be Notarized

Vital records — birth certificates, death certificates, marriage/divorce certificates — court documents, company registration records, and FBI background checks cannot be notarized by a notary public. Submitting a notarized version of these documents will lead to rejection. (One exception: vital records from New Hampshire must be notarized before sending for apostille.) ARTSA will identify the correct path for your specific document type.

🌐  Why Translation?  Countries including Germany, France, Italy, South Korea, Japan, Brazil, and many others require submitted documents in their official language. A certified translation — accompanied by a notarized accuracy statement from the translator — satisfies this requirement. ARTSA coordinates this step through ATA-certified translators in 150+ languages.

ARTSA CAN FACILITATE CERTIFIABLE DOCUMENT TRANSLATIONS, in 150+ AVAILABLE LANGUAGES, by ATA (American Translators Association) Certified Members.

🖊️  Wet ink vs. digital signatures

ARTSA cannot guarantee that the destination country will accept an electronic signature in place of a wet ink signature. ARTSA will assist in researching this — but the final confirmation must come from the receiving authority

📎  Physical document requirements
