Artsa’s Cancellation and Refund Policy

At Artsa Notary, your time is respected and valued. There is a commitment to delivering efficient and reliable services. To ensure seamless operations and accommodate all clientele, the following cancellation and refund policy is implemented.

Appointment Retainer

A $30 Consultation Fee is required to secure your Apostille Agent Quote. This retainer will be applied toward the total cost of your service. Your Consultation Work will Commence once the Consultation Fee is Sent, received, and Acknowledged. A Mobile Notary Retainer Fee is Calculated by the number of Roadway miles within the 38329 zip code radius. These fees are not refundable if any cancellations take place out of Notification Guidelines. 

Cancellations & No Shows

Cancellation Notification

If you are unable to attend your mobile notary appointment, please notify Artsa’s Notary at least 2 hours in advance. This allows time to make a change of plans regarding driving to an agreed-upon destination, and to offer the time slot to another client. Making a proper cancellation allows for a full refund of the appointment retainer. You can contact the Notary by phone or text message at 731-845-4477, or via email sent to: artsanotary@outlook.com.

No-Shows

A ‘no-show’ is when the signer does not attend the scheduled mobile notary appointment without prior notice or cancels with less than 2 hours’ notice. In such cases, the appointment retainer will be forfeited for the first occurrence. It is understandable that unexpected circumstances may arise, so we will send a reminder about the missed appointment and offer an opportunity to reschedule.

Refunds

Refund Eligibility

Due to the nature of notary services, completed mobile or remote online notarizations, finalized notary acts, and apostille and legalization agent services, they are not eligible for a refund. Refunds will be considered only for payments made in advance for services that have not yet been rendered, except for a ‘no-show’.

Refundable Circumstances

  1. Appointment Cancellation: If you cancel your mobile notary appointment with at least 2 hours’ notice, any advance payment, excluding the non-refundable retainer, will be eligible for a refund.

  2. Service Unavailability: If Artsa’s Notary is unable to provide the mobile notary service due to unforeseen circumstances or an issue at Artsa’s end, a full refund, including a paid non-refundable retainer, will be issued. If your Apostille and Authentication related documents are not accepted in the destination country due to an error on our part, we will reprocess them at no additional charge. 

  3. Processing Times: All apostille and authentication timelines are estimates and may vary depending on state, federal, and foreign government agencies that out of our control. we are strictly not responsible for delays cause by external agencies or courier services.

4. Limitation of Liability: Our policies call for the handling of your documents with care and security.  However, we are not liable for: 

  • Delays, rejections, or policy changes by government agencies or embassies;

  • Losses caused by courier, common carrier services, or mailing errors;

  • Any legal consequences related to document use. 

5. Governing Law

These terms and conditions are governed by the laws of the State of Tennessee, USA. 

Refund Request

To request a refund, please email artsanotary@outlook.com within 3 days of the original payment. Refunds will be processed via the original payment method, though processing times may vary depending upon our mutual financial institutions. Please allow sufficient time for the refund to be reflected in your payment account.

Terms and Conditions Overview

Artsa Notarial and Apostille Agent Services, a Tennessee LLC, provides notarial, apostille and legalization agent services, in addition to third-party provided document translation services. Apostille and Legalization Services vary greatly between originating States and destination Countries. Below outlines the Terms and Conditions for services provided by Artsa Notarial Services, LLC.

Company Information:

  • Artsa Notarial Services, LLC is operated by its managing member, Anita R. Turner.

  • Anita R. Turner is commissioned as a Tennessee Notary and a Tennessee Remote Online Notary. These current commissions are set to expire March 1, 2028.

Contract Formation:

  • The terms and conditions, along with any written quotations, form the contract.

  • Acceptance occurs when work begins, even if terms are not explicitly agreed upon in writing.

Responsibilities:

  • Artsa provides quotes, approximate and calculated time frames, and updates on progress.

  • Clients must provide accurate and timely information, failure to do so may result in delays, additional fees, or contract termination.

 Identification Requirements:

  • Clients must provide their own photographic valid government issued ID. Absolutely No Copies! Absolutely No Screen Shots!

  • Business clients must provide company verification documents.

Apostille and Legalization Services:

  • Completion times and fees vary depending upon the third-party agencies and providers required to complete your services, such as Secretaries of State offices, Department of State, Consulate and Embassy offices, couriers and delivery service vendors, and availability of others trusted to have the information necessary to follow the rules and regulations of the destination country.

  • Artsa Notarial Services, LLC will provide client’s that have paid a $30 retainer fee for an apostille consultation with a fee estimate agreement and contract prior to the work commencing. If the calculated estimate provided by Artsa is found to increase as the process moves forward, Artsa will not proceed until we have obtained your permission to do so in order to make proper adjustments to the fees to be collected from the client

  • Artsa will make reasonable efforts to carry out your instructions with any foreign country’s agency or consulate office, however we cannot accept liability for the actions (or lack thereof) of any third parties, including official bodies.

  • Artsa Notarial Services, LLC, its commissioned notary, and its Apostille Agent are not liable for delays in service or misdirected deliveries caused by third party couriers, delivery services, postal services, etc., once any package or item is out of the control of Artsa and its agent.

  • Artsa can facilitate document translations services performed by a reputable outside third party that furnishes certifiable translations. Base fees are $50 per page.

  • We offer standard and expedited apostille services from the Secretary of States offices, and the Department of Justice, dependent upon their own hours of operations, and if available. Both standard and expedited service timeframes can vary and Artsa will notify you of any estimates provided by those offices and agencies.

Apostille Agent Fees and Payments

  • Before Artsa does any work for you, we will provide you with a detailed cost breakdown. The total cost will include our fees and all disbursements.

Our Mobile and Online Notarial fees:

  • For standard in-person notarization (mobile notary), the minimum fee for document notarization with one seal and one signer is $15, with each additional seal for the same signer costing $15 (unless agreed otherwise in writing). Additional signers within the same documents at the same time are calculated at $5.00 per additional signer. (For real estate related notarizations, please request a personalized quote.)

  • For mobile notary services, an additional time and travel fee is calculated by round-trip radius distance from zip code 38329, which currently falls between $40 and $60. In addition, our fee may include ancillary services, such as printing, rush/after-hours/holiday/weekend fees for notarizations.

  • For

    online notarizations (RON-remote online notarizations) the base fee is $35, for general documents with one signer and one seal, For additional seals within the same document(s), the fee in $5.00 each. The onetime fee for additional signers after one, within the same document(s) is $20. Witness fees for those provided by the online notary is $20.  Bring your own witness incurs a $10 technology fee, unless otherwise stated online.
